How to order parts in Portal
Workspace setup
This workspaces as inventory bins. This tool allows you to organize your spare parts into the different bins you have within your tech repair room. This can be helpful when doing inventory checks so you know where the spare parts are located
Workspaces: You can add a new workspace when you press the new button that says “new workspace”. We recommend that you follow a naming convention similar to the following example to ensure that any new staff will understand.
- Location of bin – color/type of bin – part classification
- Ex: Tech Room – Red Bin – PCB boards
- Ex: LDrawer – plastic bin – Tools
Once the workspaces are set for you, you will be able to assign parts to each location. Simply press the green “add” button on whatever part you would like to be in that location. Once a part is assigned to a workspace, it will be taken out of the unassigned Parts column. Make sure you save changes before moving to a different location
You can also use the search bar under the unassigned parts column to help you find a part if you know the name or part number. The parts will be highlighted yellow if they match the word in the search bar
You can edit the name or delete a workspace by simply pressing the edit button under the workplace name.

Stock Take
A stock take is just taking inventory of the spare parts that you have at your location.
When you press the stock take button there will be a pop-up asking if you would like to do a new stocktake. If you already have one in progress, it will ask if you would like to continue that.
It will then prompt you to enter the amount you have on hand for every part. If your game PC isn’t in your repair room, you can download and print the PDF to write down the inventory of all parts and then transfer the numbers to the computer afterward.
Once the stock take is complete, you will get an option to create a parts order using the information you provided. Each location has a par level set by the amount of equipment you have. So any parts that are under that amount will be added to the order
EX: If your required amount of Front Sensors is 5 but you entered 3 in the inventory the order will have 2 Front sensors.
We recommend that you take inventory once a month to ensure that your spare parts stock is always full.

There are two ways to order parts:
- 1) Do a stock take and have the order automatically populated based on the inventory you have.
- 2) Start with a blank order and build your own cart
On the order parts page, you will find a list of parts for you to choose from to order. The list includes the part number, description, and image.
When you click on a part, you will be able to see the price and you can enter the quantity that you need. You can then either add to your cart.
On the bottom right-hand side, you can see how many unique parts are in the cart and how much the total cost of the cart is.
Unique parts in the cart refer to how many different parts you have chosen. It doesn’t reference how many individual parts that you may have in there. For example: if you have ordered 2 front board sensors and 5 LCD screens, the unique parts in the cart number will reflect the number 2 for the 2 different parts.
To view your cart or if you are ready to order, you can click the view cart button on the bottom right side.
This will bring you to a draft of the order. On this page, you can review the order reference number, the location you are ordering for, the delivery address, the contact email, the billing address, and your location’s warranty period. As well as all of the parts you have added to your cart, and the total costs, and You can add additional comments (like if the billing address has changed or you need a part, but you couldn’t find it.)
When you are happy with the order, you can press the checkout button to submit it. Remember: only manager-level users will be able to authorize the checkout. If a staff member attempts to, a pop-up will ask for the manager’s login information to authorize it. If a manager-level user checks out, then a pop-up will come up explaining that you are authorized to process this.
Once you have successfully submitted the order, you will receive an email containing the order report. If you are still under warranty, you will also get an RMA form and instructions for shipping our batteries.
We recommend that you review the warranty process course following this one to ensure that you understand the process.
You will not be asked to pay for the order through the portal. If you are under warranty, we will follow the warranty process before you are invoiced. If you are out of warranty one of our accountants will send you an invoice separately.
